How to handle delivery queries within or beyond the estimated delivery date, tracking mismatches, and untraceable shipments

Key Terms

  • EDD (Estimated Delivery Date): The date by which the shipment is expected to be delivered. Visible on the panel only if pickup has been scheduled.

  • Updated EDD: A revised delivery estimate provided by the courier if the original EDD is breached.

  • Suppress EDD: A flag in ICRM — if suppressed, the EDD shown to the seller may not be accurate.

  • Courier Under Stress: A pincode marked as "Stressed" in the courier name during order creation. Deliveries to these pincodes may be impacted.

Delivery Escalation — Seller Panel

Sellers can escalate directly from the panel when the EDD is breached:

Path: Orders > In-Transit tab > Escalate / Bulk Escalate (for multiple delayed orders)

Important: If the shipment is delayed by 5+ days from EDD, refund the freight charges if the seller is angry or giving a threat.

RTO/Reverse Delivery Timeline: 20 days from the return pickup/RTO initiation date. If exceeded, select the relevant issue category — use "Shipment RTO" for RTO shipments and "Reverse Shipment" for reverse shipments.

System Check

  1. Copy link from SPARK and paste in a new tab / Click on Internal ICRM.

  2. View Details > Shipment section.

  3. Check SR Tracking.

  4. Check First EDD and Updated EDD.

  5. Check Courier Remarks.

Delivery In-TAT

Inform the seller of the EDD (day end as per the EDD).

Tracking Status Mismatch

If the delivery location differs from the tracking update:

  1. Confirm with seller — does he want a delivery attempt or RTO?

  2. Assign to LOPS per seller VOC.

  3. TAT: 1–2 working days.

Courier Under Stress

Script to use:

As we can see, the delivery pincode is under stress for this courier and deliveries would be impacted here. The same was mentioned in the courier name while placing the order. We show stressed pincodes by mentioning "Stressed" in the courier name — you can avoid such couriers for a smoother delivery experience.

How to Do on Seller Panel

Track a Shipment

  1. Go to Orders from the left menu.

  2. Use the search bar at the top to search by AWB number.

  3. Check the current status under the Status column.

Or:

  1. Go to Orders > In-Transit tab.

  2. Click the Track button next to any order.

Check EDD for a Shipment

  1. Go to Orders from the left menu.

  2. Search by AWB or Order ID.

  3. EDD is shown under the Status column.

EDD is only visible if pickup has been scheduled.

Raise a Delivery Delay Complaint

  1. Go to Orders from the left menu.

  2. Search for the AWB.

  3. Click the Create Ticket button.

  4. Enter your delivery delay remarks in the box.

  5. Click Create Ticket to submit.

This option is only available if the order has crossed the EDD.

Raise RTO Delay Escalation

  1. Go to Orders > RTO tab.

  2. Find the shipment with breached RTO EDD.

  3. Click Create Ticket (appears when RTO EDD has passed).

  4. Enter remarks and click Create Ticket.

Re-escalation allowed within 48 hours of escalation closure.

Download POD (Proof of Delivery)

POD is available for: Delhivery, Bluedart, Shadowfax, Ekart, XpressBees, and DTDC — forward delivery only.

  1. Go to Orders > Delivered tab.

  2. Click More (...) > Download POD.

POD is available 24 hours after delivery.


Mobile App — How to Do

Track a Shipment (Mobile)

  1. From the bottom navigation bar, tap Orders.

  2. Go to In Transit tab.

  3. Search by AWB or tap Track Order next to the shipment.

Raise a Delivery Escalation (Mobile)

  1. Go to Orders > In-Transit tab.

  2. Find the delayed order.

  3. Tap Escalate to raise the issue.


SOP — Expedite Delivery Escalation

Case 1: Seller Approaches on RAD+2 Day

Example: RAD is 20 July, seller reaches for OFD/Expedite on 22nd July.

  1. L1 checks LOPS remarks for delay reason on ICRM.

  2. If no reason found: raise RED SOS NFCR to LOPS.

Case 2: Seller Reaches for Misrouting Cases

  1. L1 checks revised EDD on ICRM Plugin and informs seller.

  2. If revised EDD is acceptable, advise seller to wait.

  3. If it is faster to ship a new order — follow the misroute SOP in the In-Transit Damage & Misroute page (create NFCR to LOPS for RTO + freight refund eligibility).
